To generate relevant responses, Gemini taps into what Google calls Workspace Intelligence Sources, a set of data repositories that are indexed and searchable in real time.<\/p>\n<p>While Google does not use this data for AI training, does not share prompts or generated responses with other users or organizations, and does not build a separate AI database from company documents and emails, the default-on configuration still presents a significant corporate policy challenge. The distinction matters: rather than a regulatory crisis involving external data exposure, the risk is primarily internal.<\/p>\n<p>The mechanism behind Gemini&#8217;s access is rooted in Google&#8217;s search infrastructure. The company has long indexed Workspace content, and when Gemini receives a prompt, it uses real-time Retrieval-Augmented Generation, or RAG. The AI searches the indexed Workspace data, retrieves information it has permission to touch, and formulates an answer. This approach means the AI is not trained on corporate data, but it can surface sensitive information to employees who may not otherwise have access to it.<\/p>\n<p>That distinction does not eliminate the risk. Organizations may have client contracts or regulatory obligations that explicitly prohibit AI scanning and data retrieval from company information. Some industries face rules preventing data sharing even among internal teams. In those cases, leaving Gemini&#8217;s access enabled by default could constitute a compliance breach before an administrator even realizes the setting exists.<\/p>\n<p>A more immediate concern is departmental isolation. An AI that can search across Workspace repositories could inadvertently produce answers containing confidential records, such as HR complaints or details of private deals, and deliver them to employees in unrelated departments. The company frames Gemini&#8217;s Workspace integration as a productivity enhancement, allowing users to interact with AI from within the tools they already use. But the default-on nature of the data access means many administrators may be unaware of the scope of what Gemini can see until they actively review the settings.<\/p>\n<p>The episode underscores a broader tension in enterprise AI adoption.
